Conference Details

The details of the conference you are now booking.

Conference Title

(eg Sydney Medical School Yearly Dubbo Meeting) Give your conference a succinct and descriptive title, that will be used for correspondence etc about this conference.

Date (dd/mm/yy)

Date the conference is to be held. Please use the format of dd/mm/yy so it works well with our automated systems.

Start Time (24:00)

- Starting time of the conference - in Sydney, Australia time.
- This is the exact time the conference is meant to start. There is no need to factor in preparation time, etc, as the Video Conferencing Co-ordinator will add extra time for that.
- Use the Comments field at the end of the booking form if you want to give any special instructions.
- Please use the format of 24 time, (eg 23:59) so it works well with our automated systems, and so it is clear whether the time is in the morning of afternoon.

End Time (24:00)

End time of the conference - in Sydney, Australia time.

- Ending time of the conference - in Sydney, Australia time.
- This is the exact time the conference will be ended. If you think the conference might run over time, then add this time to your booking, and book your rooms to take this into account.
- Use the Comments field at the end of the booking form if you want to give any special instructions.
- Please use the format of 24 time, (eg 23:59) so it works well with our automated systems, and so it is clear whether the time is in the morning of afternoon.

Conference Convenor

(eg John Brown) The name of the person in charge of the meeting. The person who decides who is permitted to attend, charging, etc.

AVIT joint venture partners do not incur any charges for normal calls 8am-6pm M-F, except any ISDN transmission charges, or additional services.
All other bookings are charged.

Approved by

AVIT Sites

These are the sites associated with the AVIT Joint Venture Partnership.
If the site you want is here, choose it, and automatic emails will be sent to the personnel who look after the site's facilities.
Such things as call speed, transmission type, etc are automatically set by the Video Conferencing Co-ordinator.
Press "More Sites" if you want more than four AVIT sites for this conference.

AVIT Site

Click on the arrow to choose the first AVIT Site from the list.
If you want help in deciding what room to choose at a site, contact the site's booking person, or the Video Conferencing Co-ordinator.
Make Site 1 your primary site (eg Chairperson's site).
If possible choose sites 2, 3, 4, etc in order of their importance.

Screen Setup

This controls the format of the screen that shows the other sites.
Two Sites Only = If there are only 2 sites in total for your conference, choose this.
Voice Activated Video = The whole screen shows the most recent site that was speaking, and changes another site after they have been speaking for 2 seconds.
QuadSplit = The screen is divided into 4 quadrants. Up to 4 sites are shown, with any additional sites sharing the 4th quadrant appearing in Voice Activated Video mode if they speak.
Other = If you want neither VAV or QuadSplit, choose this, and write in the comments section below your requirements. We can provide nearly any type of screen format, but VAV and QuadSplit are the easiest to do.
Don't Know = If you don't know what screen format you want, or want to decide later, choose this.


External Sites

These are all sites other than the above AVIT Sites, or Telephones.
If you can't find a video conferencing site in the AVIT Sites list, then please put the site details here.
If you do not know the details, they will have to be supplied by email later.
Pressing "More Sites" will give you space to write in 2 sites, and space for an additional 2 sites will be created on each further press of the button
These are normally charged at Telstra ISDN rates. These approximate rates can be viewed here: Telstra's Local ISDN prices.
(Approximately prices at the standard 384kbps speed are: Local - $10.00/hr Sydney metro, $100.00/hr rest of Australia, $1000.00 to $2000.00/hr for the rest of world.With a reduction in quality, it is possible to use one third or two thirds this speed.
We prefer the site to dial into our bridge so the site gets the charge. If we dial we will pass on the charge to the person nominated in the booking form, and it takes months for us to receive the Telstra bill to send on to you.

Site Name

(eg Room 219, Edward Ford Building, Uni of Sydney, Australia) This is the name of the site. Please supply enough details so that the site can be clearly identified.

Connection Type

There are 2 ways we can connect a site: by ISDN or IP. Please find out from the site which of these is to be chosen, or choose Don't Know, or, Will Find Out Later.

Speed

This is the transmission speed for the connection to this site.
384 kilobits per second is the most commonly used speed. For pricing issues, go to the Help for External Sites above.

Who Dials

If there are 3 or more sites taking part in your conference, it is normally best if sites dial into the Bridge. This is so they can dial in and out when they want and if there are technical problems. If the transmission type is ISDN for a site, then it is best they dial the Bridge, so transmission charges will be sent directly to that site by their ISDN provider.

ISDN/IP No.

The ISDN or IP number of the external site. If possible, obtain this from a contact person at the external site.
If there is more than a single ISDN or IP number for the site, please write all of them into this field, or in the comments section at the bottom of the webform.

Contact

The name of the contact person for the external site. This allows us to contact them for testing and if there are problems, etc.

Contact Phone

The telephone and mobile phone number/s of the external site's contact person.

Contact Email

The email of the external site's contact person. This email then automatically receives copies of this booking you are making! They will possibly also receive further email correspondence relating to this booking.


Telephone

Any number of telephone sites can be added to a video conference. Or your conference can just be a telephone conference using our facilities.
These are normally charged at Telstra ISDN rates (eg approximately $1.80/hr Sydney metro, $10.00 to $16.00/hr rest of Australia, $100.00 to $220.00/hr rest of world. These approximate telephone ISDN rates can be viewed here: Telstra's Local ISDN prices.
If the site dials it will be charged, and if the Bridge dials the charges will be sent to the person nominated in the booking form.
Any person dialling in to the conference by phone should be careful to not making keyboard typing or other noises while in the call, because they will be heard by the rest of the conference sites.

Who Dials

Either: 1) the telephone site dials into the Bridge; or, 2) the Bridge dials the telephone site. Option (1) is better because: the telephone site can dial into and hang up from the conference whenever they want and as many times as they want, and they will receive the call costs.

Caller Email

The email address of the person taking part in the conference by telephone. This is so they can be contacted about conference details and preparation issues, etc.
